  • Overview

    The Account Coordinator is the entry level position in account management and acts primarily as an internal liaison, representing their assignments to Agency colleagues.  Provides internal support for the day-to-day administration of account management.


    • Assist and supports Account staff with the internal and external management of all active jobs including working with Operations/Finance to open jobs and communicate job numbers to internal team.
    • Ensure all Estimates/CWAs/Creative are saved to the server.
    • Assemble and are responsible for weekly completion and distribution of accurate and comprehensive status reports to clients.
    • Maintain production schedules for all active projects.
    • Keep apprised of when data is due and when we get it (if applicable)
    • Function as the liaison with clients as appropriate promptly responding to requests for information or materials from client contacts
    • Set up all meetings based on the schedules (internals and kick offs)
    • Attend meetings relevant to current projects. If necessary take notes, and provide written call reports pertaining to what was discussed and next steps.  Circulate call reports to appropriate internal team members and clients.
    • Handle administrative tasks as requested including but not limited to maintenance of folders on the shared drive, maintenance of files including production estimates and conference reports so they are current and correct, as well as timelines for assignments
    • Assist Account staff in research and preparation of their presentations of marketing plans/competitive reports to assure that the client and creative partners are kept abreast of marketplace developments
    • Help monitor competitive activity and selecting noteworthy news or advertising and circulating it to clients and within the agency
    • Act as resource for current information about the status of all projects in progress and aim to keep supervisor informed of this information.
    • Assist in the preparation of correct production estimates for client review and approval
    • Responsible for assembling monthly hours reports for review in regular meetings with clients
    • Maintain/update Team Contact List
    • Handle messengers/shipping to the clients and receive it back from the client
    • Help ensure all current PDFs of projects are saved on the server
    • Create copy decks from PDFs if needed for the client.
    • Assist with QC of project at the lettershop vendor (if applicable)
    • Assist with routing when needed


    • BA in Advertising, Marketing or related 
    • Marketing/advertising or agency internship a strong plus
    • Strong project management skills with great attention to detail
    • Excellent communications skills: writing and verbal
    • Ability to juggle multiple projects in fast paced, dynamic environment
    • Emerging leadership skills
    • Demonstrates initiative, energy and drive to succeed
