Overview

Role: Performs medical copy editing, proofreading, and fact checking services in its mission of quality assurance for all agency copy.

Responsibilities

Duties & Essential Responsibilities

 Copyediting 

  • Collects and maintains style sheets/guides for each client’s product(s)/brands
  • Ensures those style guidelines are followed by communicating them to Creative and, if necessary, bringing copy in line with style guidelines during the editing and proofing stages
  • Works with  Marketing Services and Creative in developing and maintaining an internal style guide for the medical edition process
  • Edits copy at early stages of completion for clarity and correctness (e.g. grammar, punctuation, spelling, typography, factual accuracy) while respecting the intentions of the copywriter(s), account teams and clients
  • Identifies medical references to support claims and properly annotates those references according to client style guidelines
  • Advises Copywriters on clinical trial data, medical references and validity of claims according to proven technical medical data
  • Checks that copyeditor’s own and others’ changes have been made correctly (checks against previous rounds of proofs)
  • Proofs copy at later stages of completion (release to studio, mechanicals, printer’s proof) to ensure changes have been made correctly and no new errors have been introduced, and to make sure printer has used correct file
  • Offers good judgment as an editor, e.g., knowing when to defer to others’ mandates, goals and preferences and when to assert own; ability to polish others’ work without changing its meaning or tone
  • Pays extraordinary attention to detail, respects deadlines, prioritizes well, stays calm under pressure, reacts with flexibility to agency needs and takes consensus approach when necessary
  • Comprehends specialized pharmaceutical, technological or other industry speech, and ensures it is comprehensible to lay readers if required

Staff Development/Team Building

 

  • May supervise and train junior medical copyeditor(s)
  • Works with Editorial Services team to develop group communication
  • Fosters & promotes a team environment  
  • Works on own performance evaluation by reviewing performance, identifying gaps and recommending training and development needs as necessary
  • Supports the Editorial Services team by identifying performance improvement areas and recommending training and development opportunities (e.g., E-Learning courses) in an effort to develop staff expertise/skill sets
  • Provides feedback to team and strategic partners on project design issues as appropriate
  • Attends and/or participates in department overview meetings, mentor program and in-house workshops when necessary

 

 

Qualifications

  • Bachelor’s degree plus five years or more of experience as a medical copyeditor
  • Two or more years of supervisory or leadership experience in managing and training other copyeditors
  • Knowledge of standard copyediting/proofreading marks
  • Ability to clearly and legibly mark up hard copy (proofs)
  • Outstanding linguistic and written communication skills
  • Good understanding of direct marketing practices
  • Familiarity with Adobe Acrobat, ability to edit onscreen using the commenting/callout tools
  • Proficiency in Microsoft Word, PowerPoint and Outlook
  • Ability to apply various style guides consistently across individual clients’ materials
  • Ability to work above and beyond the call of duty and provide guidance across departments in a team environment
  • Excellent organization and prioritization skills and ability to meet high standards for quality and accuracy under tight deadlines
  • Ability to manage multiple projects and responsibilities simultaneously
  • Superior attention to detail
  • Ability to offer proactive solutions and ensure successful progression without guidance when necessary
  • Ability to exhibit client service approach with results driven performance
